Please read the following information carefully before submitting your application. By submitting this application and providing your electronic signature, you acknowledge that you have read, understood, and agree to comply with all policies, procedures, deadlines, and terms described below.
Application Review & Approval
Submission of this application does not guarantee acceptance into the 2027 CCC Lunar New Year Festival. All applications will be reviewed by the Festival Committee. Applicants will typically receive an email regarding their application status within approximately two (2) weeks after submission.
The Chinese Community Center (CCC) reserves the right to approve, decline, waitlist, or revoke any application based on festival needs, booth availability, vendor diversity, product or service offerings, safety considerations, or other factors deemed appropriate by CCC. No payment is required at the time of application.
Vendor Registration Fee & Payment
Applicants will be asked to indicate their preferred payment method as part of the application. This selection is for planning and invoicing purposes only, and no payment is due at the time the application is submitted.
If your application is approved, CCC Accounting will send an invoice and payment instructions to the email address provided in your application.
Full payment must be received by CCC within seven (7) calendar days from the date the invoice is issued.
Failure to complete payment by the stated deadline may result in cancellation of the vendor's approval and release of the booth space to another vendor.
Approval of an application does not constitute a confirmed booth reservation until full payment has been received by CCC.
Any additional booth space, equipment, or services approved by CCC will be included on the invoice or billed separately as applicable.
Cancellation & Refund Policy
Once payment has been received, approved vendors who submit a written cancellation request before November 1, 2026 are eligible for a refund less a $30 administrative processing fee.
Cancellation requests received on or after November 1, 2026 are not eligible for a refund.
No refunds will be issued due to weather conditions, low attendance, personal scheduling conflicts, or other circumstances beyond the control of CCC.
If CCC cancels a vendor's participation for reasons unrelated to a violation of festival policies, CCC will determine the appropriate refund, if applicable, based on the circumstances.
Booth Package & Additional Equipment
Each standard booth includes one (1) 10' × 10' booth space, one (1) tent, one (1) 6–8 ft table, and two (2) chairs.
Additional booth space, tables, chairs, and electrical service may be requested as part of the application and are subject to availability and CCC approval. Approved additional items and applicable fees will be included in the vendor's invoice or billed separately as applicable.
Electrical Service
Electricity is not included in any standard booth package.
Vendors requiring electricity must request electrical service as part of their application. Electrical service is available in limited quantities and cannot be guaranteed until confirmed by CCC.
CCC will provide one (1) 120V electrical outlet with a maximum capacity of 1,000 watts for vendors who have purchased and received confirmation of electrical service. Vendors must provide their own UL-approved, three-prong grounded extension cords.
Requests for electricity made after vendor approval or on the day of the event cannot be guaranteed.
Food Vendor Requirements
Food vendors are solely responsible for complying with all applicable federal, state, county, and local food safety regulations.
CCC does not obtain Temporary Food Permits on behalf of vendors. Food vendors are responsible for obtaining all required permits and licenses and must provide CCC with any documentation requested by the Festival Committee by the applicable deadline.
Food vendors must notify CCC after submitting their Temporary Food Permit application and provide proof of the approved permit by the deadline established by the Festival Committee.
Food vendors must also offer at least one (1) food or beverage item priced at $5.00 or less during the festival.
Failure to obtain required permits, provide requested documentation, or comply with food vendor requirements may result in cancellation of the vendor's participation without refund.
Booth Operations
Vendors may operate only within their assigned booth space and may sell, distribute, display, or promote only the products or services disclosed in their application and approved by CCC.
Any material changes to products, menus, services, displays, or activities after approval must be submitted to CCC for review.
Booths must remain open and appropriately staffed during official festival hours unless otherwise authorized by CCC.
Booth sharing, transferring, or subleasing is prohibited without prior written approval from CCC.
CCC reserves the right to relocate or modify booth assignments when necessary for operational, logistical, or safety reasons.
Booth Clean-Up & Property Damage
Vendors are responsible for maintaining a clean and safe booth area throughout the event.
At the conclusion of the festival, vendors must remove all trash, boxes, grease, decorations, equipment, inventory, and personal belongings and return the booth area to a clean condition.
Vendors are responsible for damage to CCC property or festival equipment caused by the vendor, its employees, representatives, contractors, or volunteers.
Lost or damaged CCC-provided equipment, including tents, tables, chairs, and electrical equipment, may be charged at the full replacement cost of a new item.
Marketing Materials
As part of the application process, vendors may be asked to provide marketing and application-review materials, including company logos, website and social media information, product photographs, menus and pricing, promotional images, and business descriptions.
These materials may be used by the Festival Committee to evaluate the application. If the vendor is approved, CCC may also use submitted materials for festival-related marketing and promotional purposes.
Submission of marketing materials does not guarantee acceptance into the festival or inclusion in CCC's website, social media, advertising, or other promotional materials.
Insurance, Liability & Media Release
Vendors are solely responsible for their products, services, equipment, inventory, employees, contractors, volunteers, and personal property.
To the extent permitted by applicable law, CCC shall not be responsible for theft, loss, property damage, injury, accident, weather-related incidents, or other claims arising from the vendor's participation in the festival.
Vendors agree to indemnify and hold harmless the Chinese Community Center, its officers, directors, employees, volunteers, sponsors, and partners from claims, liabilities, damages, expenses, or legal actions arising from or related to the vendor's participation, except to the extent prohibited by applicable law.
Vendors grant CCC permission to photograph or record their booth, products, representatives, and activities during the festival and authorize CCC to use such photographs or recordings for promotional, educational, historical, and marketing purposes without additional compensation.
Festival Policies
CCC reserves the right to modify the festival schedule, event layout, booth assignments, operational procedures, vendor policies, or other festival requirements when reasonably necessary for safety, operations, or the overall success of the event.
CCC reserves the right to revoke approval or remove a vendor before or during the festival if the vendor violates festival policies; fails to meet payment, permit, documentation, or operational requirements; provides false or misleading information; or engages in conduct, displays, products, services, or business practices determined by CCC to be inconsistent with festival safety requirements or its family-friendly environment.
A vendor removed or canceled due to policy violations, failure to meet required deadlines, or false or misleading information may forfeit fees already paid.

By submitting this application, I certify that all information provided is true, complete, and accurate to the best of my knowledge.
I understand that no payment is required at the time of application and that submission of this application does not guarantee acceptance into the 2027 CCC Lunar New Year Festival.
I understand that, if my application is approved, CCC Accounting will send an invoice and payment instructions to the email address provided in my application, and full payment must be received by CCC within seven (7) calendar days from the date the invoice is issued.
I understand that my booth is not confirmed until my application has been approved and full payment has been received by CCC.
